Our Client a single family office based in Geneva, is hiring a Senior Personal Assistant (SPA) for one of the family members (the “Partner”).
The successful candidate will provide support and assistance to the Partner, and will play an instrumental role in managing the Partner’s daily affairs and optimizing his productivity.
The SPA will also work in collaboration with the FO, providing support to the administrative assistant(s).
The SPA will report to the Partner and to the Company’s CFO, and his/her place of work will be in the Family Office (with frequent trips in different cantons).
• Serve as the primary point of contact for the Partner, addressing his/her needs and
requests promptly and professionally.
• Manage complex calendars, appointments, and travel arrangements, considering time
zones, preferences, and potential conflicts.
• Coordinate personal events, gatherings, and celebrations, handling logistics,
invitations, and any necessary arrangements.
• Assist in organizing and overseeing the Partner’s personal and professional affairs,
maintaining an organized and efficient workflow.
• Prepare, proofread, file and organize various documents, reports, and
communications for the Partner.
• Collaborate with the FO to ensure seamless operations and coordination of tasks.
• Welcome visitors at the FO’s premises, manage office and team events, organize
business trips and conference rooms’ agendas.Finance Management
• Manage financial matters, including expense tracking, bill payments, and maintaining
accurate records, aligning with the Partner’s financial preferences.
• Liaise with relevant service providers for the Partner, ensuring effective communication and execution of financial transactions and investments.
• Follow-up on timeline agreed with fiduciary company regarding taxation (personal
taxation, holding company’s accounting records, …).
Household staff management
• HR management for the staff employed by the Partner: onboarding and offboarding
of employees, in collaboration with the fiduciary company.
• Preparation of employee contracts, communication with insurance companies,
understanding of fiscal and social matters related to staff management (work permit,
source tax, sickness declaration, etc.).
• Monitoring of employees’ vacations, expenses, overtime, etc.
Real Estate Projects
• Overview construction costs, budget planning and invoice processing, in collaboration
with architects.
• Support the Partner at onsite construction meetings.
Confidentiality and Discretion
• Handle sensitive and confidential information with the highest level of discretion,
respecting the Partner’s privacy at all times.• Uphold strict confidentiality in all communications, actions, and interactions, always
maintaining the highest standards of integrity.
Qualifications and skills:
• Proven experience as a Senior Personal Assistant; two references are required.
• Exceptional organizational and time management skills, with meticulous attention to
detail.
• Outstanding verbal and written communication abilities (French and English).
• Proficiency in Microsoft Office Suite (Excel, Word, Powerpoint) and other relevant
software applications.
• Ability to adapt to a fast-paced and dynamic environment, managing multiple
priorities effectively.
• Strong problem-solving skills and the capacity to anticipate needs and challenges.
• Proven experience working in a single family office or with high-net-worth individuals
is a plus.
• Driving licence.
